Privacy policy

1. Who we are

2. What we collect

Account information

Your name, email address and profile photo, which come from the sign-in provider when you create an account, and a contact number, which we require at checkout so that we can reach you about an order — in particular to chase a paid order that we have not been briefed on.

Information about your paper

The brief you write, the working title, the paper type, the specialty, your target journal, your deadline and any files you upload or send us in chat. This is the material we need in order to do the work.

Payment information

We do not collect or store your card number, UPI ID, CVV or bank credentials. Payments are handled entirely by Razorpay on their own secure checkout. We receive only a payment reference, the amount, the status and the payment method type.

Technical information

Standard server and security logs — IP address, browser type and timestamps — kept to keep the service running and to detect abuse.

3. Clinical and patient data

Please do not send us identifiable patient information. Remove names, hospital numbers, addresses and any other identifiers before you share data or case details with us. We do not need them, and de-identifying the material is your responsibility as the treating clinician. If we notice identifiers in something you have sent, we will tell you and ask you to resend a de-identified version.

4. Why we hold it

• To write, revise and deliver the paper you have asked for
• To take payment and issue receipts and refunds
• To answer you in the support chat and by email, and to call you about an order — most often when one has been paid for and we are still waiting on your brief
• To keep the records that Indian tax and accounting law requires
• To keep the service secure and prevent fraud

5. Who else sees it

We do not sell your information and we do not share it for advertising. It is shared only with the following, and only to the extent each one needs:

• Clerk — authentication and account sign-in
• Convex — the database and file storage behind the service
• Vercel — application hosting
• Razorpay — payment processing, under their own privacy policy
• The writer assigned to your paper, who is bound by confidentiality

We will also disclose information where the law or a court order requires it.

6. How long we keep it, and how to have it deleted

We do not use anything you send us for any purpose other than doing your work. Your brief, your data, your files and your finished manuscript or deck are held on our own database, securely, so that you and we have a history of the order: what was agreed, what was sent, what was paid, and what was delivered. That history is the thing you would want if a question came up a year later, and it is the only reason we keep any of it.

Order records, payment references and the work we have delivered are kept for 8 years to meet Indian tax and accounting requirements. Support conversations, including files sent in them, are kept for 3 years.

If you want it deleted, write to us and we will delete it. Send a written request from the email address on your account to support@cortexdesk.in, and we will remove your account and the material attached to it — briefs, uploads, drafts, delivered files and support history. We ask for it in writing for one reason: deletion cannot be undone, and the request should come from you, in a form we can both point to afterwards. We act within 30 days and confirm when it is done.

The one thing we cannot delete is the record Indian tax law requires us to keep — the fact of the transaction, its date, its amount and the invoice against it. That is a legal obligation, it is the minimum the law asks for, and it contains none of your clinical material.

7. Confidentiality of your work

Your brief, your data and your manuscript are yours. We do not reuse them for another customer, publish them, sell them, share them with anyone outside the providers listed in section 5, or feed them into any product of our own — including any AI system, our own or anybody else’s. Once the work is delivered, the copyright in it is yours.

8. Your rights

You can ask us at any time to:

• Send you a copy of what we hold about you
• Correct anything that is wrong
• Delete your account and the material attached to it — see section 6 for how, and for the one record we are legally obliged to keep
• Stop contacting you other than about an order in progress

Email support@cortexdesk.in and we will respond within 30 days.

9. Security

Traffic is encrypted end to end over HTTPS. Files are stored encrypted at rest. Access to customer material is limited to the people who need it to do the work, and payment credentials never reach our systems at all.

10. Cookies

We use only what the site needs to work: a session cookie so you stay signed in, and cookies set by Razorpay during checkout. There are no advertising or cross-site tracking cookies on this site.

11. Children

CortexMed is a professional service for practising clinicians and researchers and is not intended for anyone under 18.

12. Changes

If this policy changes materially, we will update the date at the top of this page and tell account holders by email before the change takes effect.
